Eleven subscriptions replaced by two servers
Problem
A design studio ran its business across eleven hosted services, from file sync and mail to a wiki, passwords and project tracking, and a departing employee turned out to own three of the accounts. Nobody could say what the data cost, where it lived, or how to leave.
Approach
An inventory of every service and its exit path, then a consolidation onto two rented servers in an EU data centre: a platform stack with single sign-on, mail on the studio's own domain, monitoring, and encrypted off-site backups restored monthly as a drill. Video conferencing stayed hosted, deliberately.
Outcome
Monthly cost down by roughly 60%, every account owned by the company, and a restore drill that has passed every month since.
